Seeking an Academic Secretary – Senior Years Student Services 

We are seeking an Academic Secretary to join our Senior Years Student Services team and contribute to the smooth operation of Years 10–12 at Ivanhoe Grammar School.

Working closely with the Head of Senior Years and Deputy Head of Campus, this role provides high-quality administrative support to students, families, staff and Campus leadership. The position is responsible for coordinating a range of academic, operational and communication activities that support the delivery of the Senior Years program and the broader student experience.

This is a full-time, fixed-term, term-time only position commencing in August 2026 for a 12-month parental leave replacement. Where possible, the successful candidate may be invited to commence earlier to facilitate a handover and induction period.

What you will do

Reporting to the Deputy Head of Campus and Head of Senior Years, you will coordinate a broad range of administrative and organisational functions, ensuring the efficient day-to-day operation of the Senior Years Office at our Ridgeway Campus. You will be a central point of contact for students, families and staff, supporting academic administration, communications, events and key student processes.

In this role, you will: 

  • Provide high-level administrative support to the Head of Senior Years and Deputy Head of Campus, including calendar management, communications, meeting coordination and the management of day-to-day priorities  
  • Act as a key point of contact for students, families and staff, providing professional, responsive and confidential support across a broad range of Senior Years matters  
  • Support student attendance, enrolment, examination and academic administration processes, including VCE examinations and the GAT  
  • Coordinate significant Senior Years events and ceremonies, including Academic Assemblies, the Senior Years Formal, Social and Valedictory  
  • Coordinate publications and communications, including the Valete, Ivanarian and School newsletters, ensuring content is accurate and delivered within agreed timelines  
  • Maintain accurate records, documentation and communications while contributing to the effective operation of the Senior Years and broader administration team
  • Provide replacement cover at Main Reception as required

Who you are  
You are a professional, approachable and highly organised administrator who enjoys supporting students, families and staff in a busy and dynamic school environment. 

You bring the following experience and skills: 

  • Demonstrated experience in an administration, executive support, school administration or customer service role  
  • Exceptional organisational and time management skills, with the ability to manage competing priorities and maintain a high level of accuracy  
  • Strong written and verbal communication skills, with the ability to build positive relationships with students, families, staff and external stakeholders  
  • Strong digital literacy, including experience using Microsoft 365 applications and the ability to confidently learn and utilise new systems and technologies  
  • A current Working with Children Check and current First Aid qualifications, or the willingness to obtain and maintain these requirements  
  • A demonstrated understanding of, and commitment to, child safety and wellbeing, including the ability to contribute to a child-safe culture and uphold the School's child safety policies and practices
