Seeking an Academic Secretary – University Campus

We are seeking an Academic Secretary to support the coordination of daily activities and events at our University Campus. This role is primarily based at Glenn College, La Trobe University (Macleod), with some work undertaken at Ivanhoe Grammar School’s University Campus (UC), which delivers the School’s dedicated Year 9 program in partnership with La Trobe University.

This is a part-time, fixed-term, term-time only position, working two days per week (15 hours), 8.00am–4.00pm, commencing in Term 2, April 2026 through to December 2026 (days negotiable for the successful candidate).

The role plays a vital part in supporting campus operations through coordinating event logistics, staffing arrangements and calendar management, while also responding to day-to-day operational needs.

What you will do  
As a key member of the Professional Services team, reporting to the Deputy Head of Campus – Staffing and Operations, you will support the effective running of the University Campus.

In this role, you will:

  • Coordinate academic and campus events, ensuring they are appropriately calendared, approved and operationally compliant
  • Arrange event logistics including venue bookings (including La Trobe University venues), staffing, transport and required documentation
  • Support daily campus organisation, including staffing and reception coverage
  • Assist with student supervision and accompaniment to shared university venues
  • Provide first aid support and cover for the Campus Nurse as required
  • Work collaboratively with academic staff and professional services teams

Who you are 
You are organised, approachable and adaptable, with the ability to manage multiple tasks in a busy environment.

You bring the following experience and skills:

  • Experience in administrative or operational support roles
  • Strong organisational, communication and interpersonal skills
  • Confidence using digital systems and platforms
  • A high level of professionalism, discretion and attention to detail
  • A current Working With Children Check
  • First aid qualifications, or willingness to obtain and maintain
  • An understanding of, and commitment to, child safety and wellbeing
